Privacy Policy

This Privacy Policy describes how the Green Cycle mobile app ("Green Cycle", "we", "our") collects, uses, and protects your information. By using the app, you agree to the practices described below.

1. What we collect

We collect only what is necessary to verify your student status and operate the recycling program:

• Name — to display in your profile and on the leaderboard.
• Phone number — used as your login identifier and for account-related communication.
• Password — stored in a securely hashed form. We never see your plain password.
• Photo of your Faculty of Pharmacy student ID card — used once to verify your enrollment. Stored securely and not shared.
• Activity submissions — when you submit a recycling activity or complaint, the associated photo and description are stored on our servers.
• Recycling points / activity history — calculated and stored on our servers based on your actions in the app.

2. How we use your information

• Verify that you are a Faculty of Pharmacy student.
• Track your green points and display them on the in-app leaderboard.
• Process recycling activity submissions and complaints.
• Respond to your support inquiries.

We do not use your information for advertising, profiling, or marketing.

3. Permissions we request

Photo Library

We request access to your photo library only when you choose to upload a photo of your student ID card during sign-up. Photos you do not select are never accessed.

Camera

We request access to the camera only when you choose to take a new photo to attach to a recycling activity or campus complaint. No photos are taken automatically.

4. How we share your information

We do not sell, rent, or trade your personal data. We share information only:

• With Faculty of Pharmacy administrators authorised to review activities and complaints.
• With our hosting and image-storage providers (currently Render and Cloudinary) solely to operate the service.
• If required by applicable law or a valid legal request.

5. Data retention

We retain your information for as long as your account is active. If you request deletion, your account and personal data will be permanently removed within 7 business days, except where retention is required by law.

6. Your rights

You can:

• Access your data — email us to request a copy.
• Correct your data — email us to request changes.
• Delete your account and data — see Section 7.
• Withdraw consent — by deleting your account.

7. How to delete your account

Send an email to greencycleau@gmail.com from the email address or with the phone number associated with your account, with the subject line "Delete my account". We will permanently delete your account and personal data within 7 business days and reply with a confirmation.

8. Children's privacy

Green Cycle is intended for university students (typically 18 and older). We do not knowingly collect data from children under 13. If you believe a child has provided us with information, please contact us and we will delete it.

9. Security

We use industry-standard practices to protect your data, including encrypted connections (HTTPS) and hashed passwords. No system is perfectly secure, but we work to minimise risk.

10. Changes to this policy

We may update this policy from time to time. When we do, we'll update the "Effective date" at the top of this page. Significant changes will also be communicated through the app.
